Print Reports (PDF) Dialog
The Print Reports (PDF) page allows users to set defaults for exporting reports in PDF format, so users can save time while working. For example, if most of your reports are exported in landscape orientation, you can choose to export reports in landscape orientation by default instead of specifying the landscape option each time you export. The Print Reports (PDF) page is only available if PDF exporting is enabled. To enable PDF exporting, select the Use PDF for printing reports checkbox on the General Dialog. If PDF exporting is not enabled, the PDF Reports Dialog and Print Reports Dialog pages are displayed in the Preferences menu instead.
Options denoted with an asterisk (*) are available only to you as the administrator. They do not appear as options in the User Preferences section that is accessible by users.
Fields
Export: From the drop-down list, select either Whole report(default) or Portion displayed only to choose to export either the entire report or only the portion of your report displayed in your browser.
Page Header and Footer: You can use headers and footers saved as part of the report settings or use a customized header and footer on all your reports. Select Edit Custom Settings to access the Header/Footer Editor. You can specify what text to print in the left, center, and right portions of the header and footer. You can type this text or insert fields specific to the report by choosing auto-text from the Insert Auto-text drop-down list at the top of the page.
For example, to add text such as "Page 1 of x" (where x is the total number of pages in the report) in the middle of the footer, click in the center text box in the Footer portion. Type the word "Page " then select Page Number from the Insert Auto-text drop-down list. Type " of " then click the Insert number of pages icon. The text appears as the following when you are finished: "Page &[Page] of &[NPages]" (without the quotation marks).
A Web administrator can set default header and footer settings that are applied to every report created in the current project. For more information, contact your administrator.
Report Header: Click the Edit Custom Settings button to access the Header/Footer Editor and specify what text to print in the report header. You can type this text or insert fields specific to the report by choosing auto-text from the Insert Auto-text drop-down list at the top of the page.
Scaling: Adjust the amount of the report's content (and thus, the size of the font) that prints on a page from the following scaling options:
- Adjust font to __% of original size: Specify the font size of text displayed on a report as a percentage of its original size. The default is 100%.
- Fit to __ page(s) wide by __ tall: Specify the page dimensions in which to fit the report contents. The default is 1 page wide by 1 page tall
Print the grid and the graph on the same page: Determine if the grid and the graph are printed on the same page when printing a report displayed in Grid and Graph view. When enabled, this setting ensures that the graph that you are currently viewing is placed on one page along with its corresponding grid. Additional sections of the report, if any, are displayed on subsequent pages, always with the graph and its corresponding grid rows on the same page. If you clear the checkbox, the grid and graph prints on separate pages. This checkbox is selected by default.
Orientation: Determine whether to print reports in either Portrait or Landscape mode. The default is Portrait.
Print cover page: Determine whether to print a cover page and select one of the following to determine which details are printed:
- With Filter Details (default): Print the filter details of the report on a separate page. The filter details are placed before the contents of the report.
- With Report Details: Print the report details of the report on a separate page. The report details are placed before the contents of the report.
- Cover page location: Determine whether the cover page is placed before or after the report.
Expand all page-by fields: Print all combinations of items in the page-by axis when printing a report that has one or more items in the page-by axis. To print only the items currently displayed in the page-by fields, clear this checkbox. This checkbox is cleared by default.
Paper size: Determine the paper size on which to print a report. The default is Letter 8.5" x 11".
Margins (Inches): Set the top, left, right and bottom margins. For reports to print according to these settings, these margin settings and the margin settings in the browser's File, Page Setup option must match. This is only applicable if PDF printing is disabled. The default value for each margin is 0.75 inches.
Maximum header size (Inches): Set the size at which the report header can be overwritten. If the header is larger than its maximum size and the report must use the space to display its content, the header is cut off by the report content. If the report does not use the space, the entire header is displayed, regardless of size. The default header size is 5.0 inches.
Maximum footer size (Inches): Set the size at which the report footer can be overwritten. If the footer is larger than its maximum size and the report must use the space to display its content, the footer is cut off by the report content. If the report does not use the space, the entire footer is displayed, regardless of size. The default footer size is 5.0 inches.
Use bitmaps for graphs: Determine if graphs are generated using a bitmap format or a vector format (default). Select the Use bitmaps for graphs checkbox to specify that graphs are generated using a bitmap format. This checkbox is cleared by default.
- Use draft quality for graphs: Specify whether to use lower-quality graphs in the exported PDF. This results in a smaller PDF file size and is particularly helpful when you do not intend to print the report or document using high quality graphs. This checkbox is cleared by default.
Embed fonts: Determine if you want to use the original fonts chosen by the report designer to display and print the PDF, even on machines that do not have those fonts installed. This ensures the portability of the PDF. This checkbox is cleared by default.
* Project Header and Footer: Specify header and footer details by clicking Edit Project Header/Footer.
Select header and footer settings from the Insert Auto-text drop-down list. Pick one of the options, located below the Header field, to specify the header placement.
Show options when exporting to PDF: Determine whether the PDF Options page opens each time a report is exported to PDF. This checkbox is selected by default.
