Exporting a report to PDF

If a project watermark has been defined, all reports exported to PDF display the watermark. A watermark is a faint design appearing in the background of a page. A watermark typically identifies or decorates pages, and it can be either text or an image. Examples include the word "Confidential" stamped on every page or a business logo appearing in the background of every page of the report.

Project watermarks apply to documents as well as reports. For more information about the project watermark, including instructions to create it, see Creating the project watermark.

You can view a PDF file on a Nook or a Kindle. For information about transferring PDFs to the Nook or Kindle and using them there, refer to the Nook or Kindle documentation.

For a report exported to a PDF, you cannot change which report elements (such as title, details, data, headers, and SQL) are exported or whether the report formatting is exported (the options available on the Export Options: Appearance tab). You can choose a different export format, update the export options, export the file, and then convert it to a PDF file. For example, if you have the Save as PDF add-in for Excel, you can export the file to Excel. In Excel, save the file as PDF, which generates the PDF.

To export a report to PDF

  1. Run the report to export. (For steps to run a report, see Running a report.)

  2. If you want to configure export options, complete the following steps:

    1. From the Data menu, choose Export Options. The Export Options dialog box opens.

    2. Select PDF File from the Application drop-down menu. The options for exporting the report to a PDF file are displayed.

    3. Click the General tab.

    4. To automatically open the PDF file when you export the report, select the Show application after exporting check box.

    5. If you send a report to your History List with the Export this report automatically check box selected, and then read the report from your History List, the report is automatically exported to a PDF file.

    6. To export the report with all the page-by fields expanded, select the Expand all page fields when exporting data check box.

      If your report will be displayed on a Kindle, expand all the page fields, so that the Kindle user can view all the data.

    7. To specify additional general, formatting, error handling, and location options, click Advanced Options. For more information on these options, see Advanced Options for Exporting to a PDF File.

    8. Click OK to return to the report.

  3. On the Data menu, point to Export To, then choose PDF File.

    If the page-by fields are expanded, ensure that the PDF uses logical page numbers for printing page ranges. If logical page numbers are not used, you might not be able to accurately specify the print range to print. To specify that the PDF uses logical page numbers, complete the following steps:

    1. In Acrobat Reader, from the Edit menu, select Preferences.

    2. In the Categories list, click Page Display.

    3. Select the Use logical page numbers check box.

    4. Click OK to save the changes and return to the PDF.
