Share a Dashboard
You can share a dashboard with others using multiple methods.
- Web
- Tablet
- Phone
Invite Users
- Select a page from a dashboard in your library.
- Click
Share >
Share Dashboard.
- Select users or user groups and add an optional message.
- Click Share.
Get Link
- Click
Share >
Share Dashboard.
- Copy the link that appears at the bottom.
Export to Excel
To enable auto-fit for column width when exporting a grid to Excel, you must author your columns to fit to contents.
- Select a page from a dashboard in your library.
- Click
Share >
Export to Excel.
- Use the Range drop-down list to choose to export the Entire dashboard or Grids on this page. Starting in MicroStrategy ONE (June 2024), select the check box next to one or more pages or chapters.
If you have multiple grids on the page, use the check boxes to select your grids.
Starting in MicroStrategy ONE (June 2024), use the Contents drop-down list to format the export:
Entire page to worksheet: Choose this option to export each dashboard page in a single worksheet.
Auto and free-form layout exports are supported. Excel does not support overlapped content so free-form layout content will export as plain layout.
Data for visualizations is the only supported export type but images and text boxes will also be imported into Excel sheets.
Each visualization separately: Choose this option to export each visualization to a separate worksheet.
Starting in MicroStrategy ONE Update 12, select Show Filters to export content using your chapter-level filter. The exported Excel will include filtered data and a filter summary.
Click Export.
Filter translations may not be consistent between Library and Excel when non-English languages are used. Some translations (for example, YTD, QTD, MTD) may not be consistent between Library and Excel outputs. This is because the export to Excel is handled by the Intelligence Server, which operates differently from Library. However, you can confirm that the translation in the Excel output is correct.
Export to CSV
Beginning in Strategy One (May 2025), you can export a dashboard to comma-separated value (CSV) files.
Each visualization is exported as an individual CSV file, named for the dashboard chapter, page, and visualization.
All the CSV files are exported together in a zip file named as the dashboard.
If you export a single page, the zip file is named as the dashboard and page.
If you export a single visualization, a zip file is not created. Only the single CSV file is downloaded, named as the dashboard and page.
- Select a page from a dashboard in your library.
- Click
Share on the toolbar, then select
Export to CSV.
- Use the Range drop-down list to view the dashboard's chapters and expand them to view the pages. Select the check box next to the pages and/or chapters to export. To export the entire dashboard, select the All check box.
- If you select a single page, you can select which visualization or visualizations to export.
- Beginning in Strategy One (July 2025), select the Delimiter from the drop-down list. If your desired delimiter is not available, select Other and type the custom delimiter in the box.
Click Export.
Export to PDF
You can export a dashboard to a PDF in two ways:
- From your library, open the dashboard's
Properties dialog and click
Export to PDF.
- From an open dashboard, click
Share >
Export to PDF.
PDF Export Options
Customize the export options before you create a PDF from your dashboard. Your defaults may differ from those listed below if the dashboard author adjusted the default PDF settings in the Dashboard Properties Dialog.
- Contents: Select one of the following:
- All visualizations together to export a snapshot of each page. Any content that is too long or wide is not included. This provides an overview of pages with many visualizations.
- Each visualization separately to export each visualization as a separate page. Grids print across multiple pages when they contain numerous columns or rows. This provides the full details of each visualization.
- Both to export a snapshot and each visualization.
Grid Settings: The available options depend on the Contents selection above.
- If you selected All visualizations together, only a portion of each grid on a dashboard page prints on the PDF page to preserve the rest of the dashboard page's text, images, visualizations, and other objects. Select the Expand all grid data check box to print all of the data for each grid.
- If you selected Each visualization separately or Both, choose one of the following:
- Scale to page width to dynamically resize grid content to fit across a single PDF page.
- Extend columns over pages to break a wide grid across pages. If you select this option, attribute columns automatically repeat on each page to provide context and ensure readability. To disable it, clear the Repeat attribute columns check box.
- More Settings
- Paper Size: Select your paper size. By default, Letter is selected.
- Orientation: Select
Portrait or
Landscape mode.
- Adjust margins: Beginning in Strategy One (May 2025), you can customize the page margins, independent from the paper size, resulting in a more predictable PDF export. Set the margin spacing for the left, top, right, and bottom margins separately. This feature provides greater control over your dashboard layout, so you can tailor your dashboards precisely to client or regulatory standards.
- Display Options
- Show table of contents: Include the Table of Contents, with chapter and page names, on the first page of your PDF export.
- Show header: Select to include a header in the export. Beginning in Strategy One (June 2025), if this check box is unavailable, the dashboard creator has locked it. You cannot remove or change the header unless you edit the dashboard, if you have the privilege to do so, to change the header in the Dashboard Properties Dialog.
Show footer: Beginning in Strategy One (June 2025), you can select whether to include a footer in the export. This replaces the previous Show page numbers setting. If this check box is unavailable, the dashboard creator has locked it. You cannot remove or change the footer unless you edit the dashboard, if you have the privilege to do so, to change the footer in the Dashboard Properties Dialog.
- Show filters: Beginning in MicroStrategy ONE (March 2024), you can select whether to include filter information in the export and the level of detail to include. The options are:
Filter summary on each PDF page: Displays a one-sentence filter summary on each page. Anything longer is not included.
All filters after every chapter: Displays all filters and their details on a separate page after each chapter.
Both
Download Dashboard
You can download a dashboard's .mstr file in two ways:
- From your library, open the dashboard's
Properties dialog and click
Download Dashboard.
- From an open dashboard, click
Share >
Download Dashboard.
You can then send the .mstr file via email.
Once you share the .mstr file, the file is no longer linked to the original data sources and is not updated.
Subscribe to Dashboard
Starting in Strategy One (March 2025), you can subscribe to snapshots to share dashboards hyperlinks with defined users and user groups. Snapshots allow you to capture dashboards at a point in time so you can utilize snapshots for data change analysis or comparison. If you want your subscription to include a link to your snapshot, you must customize the notification email. For more information, see Configure Notification Emails When Sharing Content in Library.
You can only capture snapshots at a point in time for dashboards with a report as a dataset. Dashboards with cubes as a dataset do not store historical data but always fetch the latest data (with a view save and pre-executed.
Create subscriptions based on dashboard views.
Click
Share >
Subscribe to Dashboard.
Name the new subscription.
Select a Bookmark. You can select the current view of the dashboard or another bookmark to create the subscription.
Library subscriptions are based on bookmark views. If the current view is not saved as a bookmark, creating a subscription with the current view automatically adds a new bookmark to the Bookmarks panel. You can name the bookmark for the current view.
Choose the Format of the subscription from the drop-down list:
Excel.
You can Show Filters in the Excel file.
You can select the Contents of the Excel file, either the Entire page to worksheet (each dashboard page becomes a separate Excel worksheet) or Each visualization separately (each visualization becomes a separate Excel worksheet).
PDF. You can change PDF settings such as printing visualizations together on the same page or each on a separate page, setting the paper size, and whether to display page numbers. Click Attached PDF Settings to change them.
Snapshot, starting in Strategy One (March 2025).
CSV, starting in Strategy One (May 2025).
Beginning in Strategy One (July 2025), select the Data Delimiter from the drop-down list. If your desired delimiter is not available, select Other and type the custom delimiter in the box.
Select the Range to include, such as all of the dashboard or specific chapters or pages. Not available for snapshots.
Select a Schedule. Schedules have already been created.
Add an optional Note.
In the Deliver to field, review recipients of the subscription. To add users or, starting in Strategy One (March 2025), user groups, type their name.
By default, all Library end users can create subscriptions for their own user. To add others to the recipient list, make sure the user has the "Web subscribe others" privilege. If you can add more users or user groups, a new check box displays for Allow recipients to unsubscribe (optional). You can allow others to unsubscribe or not.
Optionally, select the Send preview now to all recipients check box.
Click Subscribe. The new subscription is created.
Beginning in Strategy One (July 2025), you can access these snapshots in the sidebar of the Library home page if your administrator enabled the Snapshots component.
Starting in Strategy One (March 2025), you can create threshold-based alerts for dashboards. This means notifications are sent when a metric value on the dashboard meets the threshold conditions. For steps, see Create an Alert Subscription for a Dashboard.
To manage subscriptions, go to Subscriptions in the sidebar menu of Library Home or the information window of the dashboard.
Invite Users
- Select a page from a dashboard in your library.
- Tap
Share > Share Dashboard.
- Select users or user groups and add an optional message.
- Tap Send.
Get Link
- Select a page from a dashboard in your library.
- Tap
Share > Share Dashboard.
- Tap Copy Link.
Export Excel
Exporting to Excel is only supported on iOS devices, and not Android.
This option only appears if you have a grid on the page.
- Select a page from a dashboard in your library.
- Tap
Share > Export to Excel. If only one grid is on the page, it will download.
If you have multiple grids on the page, select your grids and Export.
Each exported grid will appear in its own sheet in Excel.
Share PDF
- Select a page from a dashboard in your library.
- Tap
Share > Export to PDF.
- Tap Export and Share.
- Customize the PDF export options.
- Click Export.
