Export Reports Preferences

The Export Reports preferences page allows you to specify exporting preferences. Here, you can select the way that you want to export grid reports, graph reports, and HTML documents. For details to set preferences for Report Services documents, see Report Services Preferences.

When you export a report, you move a copy of the report into some other software, such as Microsoft Excel, Adobe PDF, or a simple text file.

  1. Click your user name and select Preferences from the drop-down.
  2. Select Export Reports. The following options are available:

    • Export: From the drop-down, select either Whole report to export the entire report or Portion displayed only to export only the portion of your report displayed on your browser. This is a useful option if you commonly view reports with many pages and only want to export the page you are viewing.
    • Export grids to:
      • Excel with plain text (default): The report is exported and displayed as Microsoft Excel spreadsheet, which contains only the text of the grid report. The spreadsheet does not retain the formatting of the report as displayed in MicroStrategy Web.
      • CSV file format: The report is exported as a CSV file. The contents of the grid report are displayed, separated by commas.
      • Excel with formatting: The report is exported and displayed as a Microsoft Excel spreadsheet. The spreadsheet retains the formatting of the report as displayed in MicroStrategy Web, such as colors, fonts, and structure.
      • HTML: The grid report is exported to an HTML file.
      • Plain text: The contents of the grid report are exported to plain text, and the Delimiter you specify separates data from each cell of the report.
    • Export graphs to:
      • Excel with formatting: The graph report is opened in the version of Excel you specify in the Excel version drop-down below.
      • HTML (default): The graph report is exported to an HTML file.
    • Export HTML documents to:
      • HTML (default): The HTML document maintains its format, color, and structure when exported to an HTML file.
      • Excel with formatting: Only grids from the HTML document are exported to plain text, giving users access to the data within the grid reports. Graph reports in HTML documents are not exported to Excel.
    • Export Report Title: The title of the report is included in the exported information. This checkbox is selected by default.
    • Export Page-By Information: If the report has objects in the page-by field, the objects in the page-by field are included in the exported information. This checkbox is selected by default.
    • Export filter details: Choose whether to export the filter details of the report. If you choose to export them, they appear above the exported report. This checkbox is cleared by default.
    • Export Header and Footer: Specify header and footer details by clicking Edit Custom Settings.
      • Edit Custom Settings: Click Edit Custom Settings to edit the header and footer settings. Type text in the Header and Footer fields, or select auto-text to insert from the Insert Auto-text drop-down. The export header and footer can also be included as part of a subscribed report. For more information, see the Web Administrator Help.
    • Remove extra column: Determine whether the column that displays the word "Metrics" is displayed on the exported report.
      • Yes: The word "Metrics" is not displayed.
      • No: The word "Metrics" is displayed.
      • Automatic (default): The report-level setting for the feature is applied. For steps to determine whether the Metrics column is displayed at the report level, see the Basic Reporting Help.
    • Expand all page-by fields: Determine whether to export all objects in the page-by drop-downs when exporting a report. To export only the objects currently selected in the page-by field (default), clear this checkbox. For an introduction to page-by, see How to Group Data by Page: Page-By.
    • Excel options
      • Excel version: Specify which version of Excel is used to export reports and documents. The version you specify determines how version-specific situations, such as European symbol formatting, are handled in Excel. The version of Excel you select also determines whether the export settings at the report level are considered or not. The options are:
        • Excel 2000
        • Excel XP/2003 (default)
        • Excel 2007 or newer versions (compatible with Office for Mac)

      The Excel 2000 option is only available if the supported Excel version was previously specified as Excel 2000.

      • Export metric values as text: Determine whether numeric values should be exported as text or as numbers. If you choose to export metric values as numbers, Excel may automatically format the number. For example, $34.23614 may be rounded to $34.24 in Excel. If you choose to export metric values as text, Excel will not automatically format the numbers. This setting only applies to exports to Excel. This checkbox is cleared by default.
      • Export headers as text: Determine whether header values should be exported as text or in their current format, which could be numeric, date, and so on. This setting only applies to exports to Excel. This checkbox is cleared by default.
    • Excel with formatting options
      • Place each page on a separate sheet: Determine whether each page of your report will be placed on its own Excel sheet. This checkbox is cleared by default.
      • Always export graphs as live Excel charts: Determine whether graph reports are exported as Excel charts on which you can perform Excel manipulations, just as you can on any graph in Excel. If you do not select this checkbox, graphs are exported to Excel as bitmaps. This checkbox is cleared by default.
      • Embed images: Determine whether exported graphs and images from the report are included in the Excel spreadsheet as images. If this checkbox is selected, the images and graphs can be accessed from the spreadsheet without having to run MicroStrategy Web. This checkbox is selected by default.
      Live charts are supported by all versions of Excel. Only Excel XP or later versions support embedded images.

      Starting in MicroStrategy 2019 Update 7, this setting is not a visible option in Export Preferences. For security purposes, this setting is enabled at all times and cannot be modified.

      • Allow MicroStrategy Office to refresh reports after exporting: Determine whether MicroStrategy Office has the ability to refresh reports and documents after they have been exported to Excel. This setting only applies to exports to Excel with formatting.

        This information applies to the legacy MicroStrategy Office add-in, the add‑in for Microsoft Office applications which is no longer actively developed.

        It was substituted with a new add‑in, MicroStrategy for Office, which supports Office 365 applications. The initial version does not yet have all the functionalities of the previous add‑in.

        If you are using MicroStrategy 2021 Update 2 or a later version, the legacy MicroStrategy Office add-in cannot be installed from Web.;

    • Show options when exporting: Determine whether the Export Options page opens each time you export a report. This allows you to easily change export settings for each report you export, such as which format you want to export to. To automatically export reports with the settings specified on this page, clear this checkbox. This checkbox is cleared by default.
  3. From the drop-down list, determine which projects to apply the changes to.
  4. Click Apply.

To reset all preference settings, click Load Default Values.
