Determine Whether Users Can Subscribe to a Report or Document

You can determine which users, if any, can have the results of a report or document delivered to them on a schedule .

To determine whether users can subscribe to a report

  1. Click the name of the report to run it.
  2. From the Tools menu, select Report Options.
  3. From the left, click Delivery.
  4. Under Users for Subscriptions, select one of the following:

    • To prevent all users from subscribing to the report, select Do not allow users to subscribe to this report.
    • To allow all users to subscribe to the report, select Allow all users to subscribe to this report (default).
    • To manually define whether specific users or user groups are allowed to subscribe to the report, select Only allow specific users to subscribe to this report. Under Who Has Access, perform the following steps:

      1. Select the users or user groups to define permissions for by doing one of the following:

        • To select users or user groups one at a time, type the name of a user or user group in the field. As you type, the names of matching users and user groups is displayed in the list below. You can select a name in the result list or continue to type.
        • To select multiple users or user groups at once, click Browse. In the User/User Group Browser, select the checkbox next to each user or user group, then click OK.
      2. Click Add.
      3. Click the arrow icon next to Granted, then select one of the following:

        • To allow the selected user or user group to subscribe to the report, select Granted.
        • To prevent the selected user or user group from subscribing to the report, select Denied.
      4. Repeat the appropriate steps above to define permissions for any additional users and user groups.
  5. Click OK.
  6. Click Save.

To determine whether users can subscribe to a document

  1. Open the document in Design Mode or Editable Mode.
  2. From the Tools menu, select Document Properties.
  3. From the left, under Document Properties, click Delivery.
  4. Under Users for Subscriptions, select one of the following:

    • To prevent all users from subscribing to the document, select Do not allow users to subscribe to this document.
    • To allow all users to subscribe to the document, select Allow all users to subscribe to this document (default).
    • To manually define whether specific users or user groups are allowed to subscribe to the document, select Only allow specific users to subscribe to this document. Under Who Has Access, perform the following steps:

      1. Select the users or user groups to define permissions for by doing one of the following:

        • To select users or user groups one at a time, type the name of a user or user group in the field. As you type, the names of matching users and user groups is displayed in the list below. You can select a name in the result list or continue to type.
        • To select multiple users or user groups at once, click Browse. In the User/User Group Browser, select the checkbox next to each user or user group, then click OK.
      2. Click Add.
      3. Click the arrow icon next to Granted, then select one of the following:

        • To allow the selected user or user group to subscribe to the document, select Granted.
        • To prevent the selected user or user group from subscribing to the document, select Denied.
      4. Repeat the appropriate steps above to define permissions for any additional users and user groups.
  5. Click OK.
  6. Click Save.
