Create a Dynamic Recipient List

Dynamic recipient lists allow you to use a report to specify a group of recipients for use in subscriptions. You can create dynamic recipient lists using the Create a New Dynamic Recipient List dialog box. The following options are available:

  • Dynamic Address List Name: Type a name for the new dynamic recipient list in the field.
  • Report: Click Select. The Select Report dialog box opens. Use it to select the source report to use to provide the information for the contacts in the dynamic recipient list. For details, see Select Report Dialog Box. After you select the report, the values in the property table below are filled in automatically, although you can select new values from the drop-down lists of the attribute forms available on the report.
  • Required Property

    The data type of the database column used to provide the Linked User ID and Device ID below must be VARCHAR, not CHAR.

    • Physical Address: Select the attribute form that contains the email address of each contact in the list.
    • Linked User ID: Select the attribute form that contains the ID of the MicroStrategy user you want to link to each contact in the list. Each ID must correspond to the ID of an existing user in the project. The linked user can then have reports and documents subscribed to the contacts, allowing reports and documents to be delivered to selected addresses and delivery locations defined for those contacts. In addition, any security filters and access control lists (ACLs) that are applied to the contact's linked user are also applied to any reports and documents that are sent to the contact. For more information on security filters and access control lists, see the System Administration Help. Steps are below to obtain the ID of a MicroStrategy user in MicroStrategy Developer.
    • Device: Select the attribute form that contains the device ID (the 32-character hexadecimal string used to identify the email device) for each contact in the list. Each ID must correspond to the ID of an existing email device in the project. Steps are below to obtain the ID of an email device in MicroStrategy Developer.
  • Optional Property

    • Recipient Name: Select the attribute form containing the name of each contact in the list.
    • Notification Address: Select the attribute form containing the notification address of each contact in the list.
    • Notification Device: Select the attribute form that contains the notification device of each contact in the list.
    • Personalization: Select the attribute form that contains the prompt XML to use to answer prompts on a report or document. The prompts in the content should be a subset of the XML retrieved from the subscription report.

This procedure assumes that you have already created a source report to use to provide addresses and other subscription information for the dynamic recipient list. To create a dynamic recipient list

  1. Log in to a project. (see How to Log In and View the Status of a Project?)
  2. On the upper right of any page, click your user name, and then select Preferences from the drop-down list.
  3. From the left, select Dynamic Address Lists.
  4. Click Add a New Dynamic Address List.
  5. Select the appropriate options to define the dynamic recipient list, as described above.
  6. Click Save.

To obtain the ID of a user in MicroStrategy Developer

  1. In MicroStrategy Developer, log into your project. You must log in as a user with administrative privileges.
  2. In the project source, expand Administration, then expand User Manager.
  3. Navigate to and expand the group that contains the user for which you want to obtain the ID, then right-click the name of the user and select Properties. The Properties dialog box opens, with the user ID displayed in the ID field. You can copy the ID to your clipboard for reference. Highlight and right-click the ID, then select Copy.
  4. Click OK.

To obtain the ID of an email device in MicroStrategy Developer

  1. In MicroStrategy Developer, log into your project. You must log in as a user with administrative privileges.
  2. In the project source, expand Administration, then expand Device Manager.
  3. Navigate to and expand the group that contains the email device for which you want to obtain the ID, then right-click the name of the email device and select Properties. The Properties dialog box opens, with the device ID displayed in the ID field. You can copy the ID to your clipboard for reference. Highlight and right-click the ID, then select Copy.
  4. Click OK.
