Applying default formatting and behavior to grid reports project-wide

You can set up default formatting and various behaviors such as resizing for grid reports. These defaults are automatically applied to all grid reports throughout the project. These defaults can be overridden by specific formatting or behavior applied to individual grid reports.

Prerequisites

  • You must have Developer privileges, or a set of privileges that allow you to access the various object editors in MicroStrategy Developer, to have these settings take effect in reports.

  • To enable drilling options, you must have an understanding of hierarchies within MicroStrategy. See the Answering Questions about Data chapter in the Basic Reporting Help.

  • For some drilling options, you must have an understanding of thresholds and page-by fields. For a short introduction and images of thresholds, see the Formatting a Report chapter in the Basic Reporting Help. To apply default formatting and behavior to grid reports project-wide

  1. Right-click the project for which to set grid report options and choose MyPreferences. The My Preferences dialog box opens.

  2. In the list of categories on the left, expand Grid, then select General.

  3. Choose the following display defaults:

    • Default autostyle, which is the default autostyle for all reports. When new reports are created, this autostyle is applied by default. Autostyles are easily changed for individual reports from the report's Grid menu.

    • Minimum column width, in characters, for the columns in reports.

    • Wordwrap, which specifies whether or not to wrap the text within a column.

    • View Column Handles in Auto Mode, which specifies whether or not column sizing handles are available in Auto Column width mode.

      If a report is in Auto Column Width mode, column sizing handles are not available by default. If you select View Column Handles in Auto Mode, the handles are available in Auto Column Width mode. This allows users to grab a handle and drag the column size manually, even though the width is still initially determined automatically.

  4. Select whether to open reports in one of the following ways:

    • To display report results in a flat, non-hierarchical manner, select Open report in regular mode. If you select this option, you can specify whether to Merge header cells that are identical into a single header. For more information on merging report headers, see Merging header cells on a report.

    • To display report results using indented groupings of related attributes, select Open report in outline mode.

      A report cannot open in outline mode if it does not contain related attributes that can be collapsed into groups. For example, in the MicroStrategy Tutorial project, the attribute Item can be grouped into Subcategory, which can be grouped into Category.   5. Select whether to Display long names. Long names are the attribute form name in reports.

  6. In the list of categories on the left, select Drilling.

  7. Select whether to Enable report drilling. For additional details on each option below, see Reports tab, Grid Options: Drilling tab.

  8. If drilling is enabled, you can choose the following defaults:

    • Drill anywhere to enable drilling in every direction.

    • Drill down only to enable drilling only from the parent level to the child level for any attribute on the report.

    • Select whether to Keep parent while drilling, which specifies whether or not the parent attribute level remains displayed while drilling down. For example, if you drill down from State to City, and this option is selected, State remains on the report when City is displayed. If you select Default, the parent display becomes a function of the attribute being drilled.

    • Select whether to Keep thresholds while drilling, which specifies whether or not thresholds are still displayed when drilling. For example, a threshold is set to bold revenue values greater than $1 million. If you drill from Store to Employee when this option is selected, any revenue over $1 million is shown in bold font. If you select Default, thresholds are displayed according to the drill path definition.

    • Select whether to Inherit subtotals from parent, which specifies whether or not subtotals are still displayed when drilling. For example, a subtotal is applied across the Product hierarchy on a report. If you drill from Category to Subcategory when this option is selected, a Subcategory subtotal is still displayed in the drilled-to report. If this option is not selected, a subtotal is not calculated across Subcategory. If you select Default, subtotals are displayed according to the drill path definition.

      Subtotals are not displayed, regardless of this setting, if all of the following are true:

      • The subtotals are calculated by group.

      • The object being drilled to is the same as the group being subtotaled.

      • The Keep parent while drilling option is not selected.

    • Select whether to Add the current page by element as part of the filter when drilling from, which specifies whether or not the current page-by element is added to the filter when drilling. For example, if the page-by is set to State and you drill from Store to Employee when this option is selected, the page-by remains as State in the drilled-to report. The options are:

    • Any page-by field: The page-by element is added to the filter only when you drill from a page-by field. If you select this option, you can also choose one of the following check boxes:

    • Apply to current page-by field: Applies only to the current page-by element.

    • Apply to all page-by fields: Applies to all page-by fields in the report.

    • Any other part of the report: The page-by element is added to the filter when you drill from anywhere except a page-by field.

    • Select one of the following Drilling filter options, which allows you to select whether, when drilling, to keep the child elements in the filter:

      • Include in the filter only elements of attributes positioned to the left of or above the selected attribute element(s): When you drill on a report, these elements are included in the SQL for the new report. For example, a report contains Year, Country, and Revenue. If you highlight a single year and drill to quarter, all the rows for Country are highlighted. The Year and Countries are included in the SQL for the new report.

      • Include in the filter all highlighted attribute elements: When you drill on a report, only the selected elements are included in the SQL for the new report. This shortens the SQL required to create the report, which is important in larger reports so that the SQL does not exceed the maximum length. In the example above, Country is not included if this setting is selected.

        This advanced setting affects the SQL used to create the report, not the report results.

  9. Click OK to save the settings. You are returned to MicroStrategy Developer.
