How to Print a Report

You can print reports either through your browser or through a PDF file. PDF printing offers the most flexibility because it allows you to adjust PDF-specific settings and works independently of your browser's print settings. Both printing methods are included in the steps below.

To print a report using PDF

  1. Click on the name of the report to print.
  2. From the Home menu, select either Grid, Graph, or Grid and Graph view.
  3. From the Home menu, select Print. For details about the printing options, see the procedure below.
  4. Print the file from either the PDF preview or from your browser.

To modify report printing options

  1. On the upper right of any page, click your user name, and then select Preferences from the drop-down list.
  2. Select the Use PDF for printing reports checkbox, then click Apply.
  3. Click on the name of the report that you want to print.
  4. From the Home menu, select either Grid, Graph, or Grid and Graph view.
  5. From the Home menu, select Print.
  6. From the Print drop-down list, select whether you want to print the whole report or only the portion displayed.
  7. You can specify text to be displayed at the top (header) and at the bottom (footer) of each printed page. To do this, click Edit Custom Settings:
    • Inserting text: Type the text to appear in the left, center, and right portions of the page's header and footer. You can automatically insert report fields, such as the report's name or a page number, by choosing macros from the Insert Macro drop-down list.

      For example, to add Page 1 of x in the middle of the footer, click in the center text box in the Footer. Type the word Page, then select Page Number from the Insert Macro drop-down list. Type of, then click the Insert number of pages icon.

    • Formatting the text: You can format header and footer text using HTML tags. For example, placing <B> and </B> tags around a word applies bold font to the word. You can also use <I> and </I> for italics, <U> and </U> for underlines, and <FONT> to format the text font, for example, <FONT face="Courier New" size="4" color="#ff0000" style="background-color: #ff0000">Your text</FONT>. Use <BR> to insert a space between two lines.
  8. If DHTML is disabled, type the maximum number of rows and columns to be printed on each page in the Grid rows per printed page and Grid columns per printed page fields.
  9. In the Scaling area, specify how the content is adjusted to the PDF page:
    • Adjust font to % of original size: Define the font size on a page.
    • Fit to page: Specify whether the content should be fit to the page for All rows, All columns, or both.
  10. If the report is displayed in Grid and Graph View, to print the grid and graph together on the same page, select the Print the grid and the graph on the same page checkbox. Additional sections of the report, if any, are printed on subsequent pages, with the grid and graph printed together.
  11. In the Orientation area, select Portrait if you want the report to print vertically. Select Landscape if you want the report to print horizontally.
  12. To choose the cover page location, select either Before report or After report.
  13. To print the report's filter details on a separate page, select the Print cover page with filter details checkbox. The filter details are placed before the contents of the report.
  14. If the report is grouped, data in the report is displayed on multiple pages based on the items in the Page-by panel. You can determine whether to print only the currently displayed page, or all of the pages of the report. Do one of the following:
    • To print all of the pages, select the Expand all page-by fields when printing checkbox. Data for each item in the Page-by panel is printed on a separate page.
    • To print only the currently displayed page, clear the Expand all page-by fields when printing checkbox.
  15. To adjust settings such as paper size, margins, and maximum header and footer sizes, click Show advanced options and make changes as necessary.

    If you are printing from PDF, to use the fonts chosen by the report designer, select theEmbed fonts checkbox.

  16. Click Show printable version.
  17. If you are printing from your browser, adjust your browser print settings to match your selections above. For example, if you selected Landscape orientation above, make sure the browser's printer properties are also set to print in a landscape orientation.
  18. Print the file from either the PDF preview or from your browser.
