Answer a Prompt by Defining a Filter Based on an Attribute

Starting in Strategy One (November 2025), you can use a dynamic date to answer a prompt. A dynamic date is a date that is a fixed offset from the current date. It can be used to filter data based on specific time frames that change over time. For example, you use a dynamic date to analyze revenue amounts for the previous two months, represented as "today" with an offset of two months.

Some prompted reports require you to define the report's filtering conditions based on an attribute.

These types of prompts include the following:

  • A prompt where you select a hierarchy from a drop-down list, and then select an attribute to create a filter for the attribute. (This is a hierarchy prompt.)
  • A prompt where you create a filter based on an attribute. (This is an attribute prompt.)

If you attempt to run a report that contains a required prompt without answering the required prompt, the report will not run, and a message stating this requirement displays.

Example

The image below shows a prompt that is answered by defining a qualification based on an attribute.

You need to review employees with IDs between 10 and 20, so you create a qualification that filters for ID between 10 and 20, as shown below.

When you apply the prompt answer, the report results display.

If you click Select, you can define the filter as a list of employee names, as shown below.

To Answer a Prompt by Defining a Filter Based on an Attribute

  1. In Library, do one of the following:
    • To run a prompted report, click its tile or name.
    • To edit a prompted report, right-click its tile or name and select Edit. A blank report displays, with data retrieval paused for improved performance when working with large datasets. When data retrieval is paused, results do not display. Click Resume Data Retrieval .

    The Prompts page displays. You must answer any required prompts before you see the report results.

  2. If the prompt already has a qualification or list created, you can do one of the following:

  3. If the prompt does not have a default qualification or list created, do one of the following:

    Create a Filter Qualification

    If the prompt does not have a qualification created, or you want to add to or change filtering conditions, create your filter by performing the steps in this section.

  4. From the first drop-down list, select the attribute to use to filter the data. A qualification condition is created (such as Month Qualify ID Equals Value).

  5. Click Qualify.

  6. The second drop-down list contains the available attribute forms for the selected attribute. The prompt creator defines which attribute forms are available. Select the attribute form.

    • ID: Each attribute element has a specific ID assigned to it. If you know the IDs that you want to filter data for, select ID.

    • DESC: Most attribute elements have a description provided for them. To filter data based on descriptions, select DESC.

    • Other forms: Depending on the attribute and on how your prompt was designed, additional forms may be listed.

  7. From the operator drop-down list, select the operator for the filter. For example, you might choose the Greater Than operator to filter out employee IDs below a certain number or Begins With to filter for employee last name beginning with a specific letter. For more details on operators, see Joining filter qualifications with operators in the Basic Reporting Help.

  8. In the Value box, type the value to filter for. If the operator, such as Between, requires more than one value, multiple Value boxes display. For example, you can filter employee IDs between 10 and 20.

    • For forms other than ID, you can click Browse Values to select values instead of typing them.

    • For date forms, you can select a date from a calendar. Click the calendar icon . Starting in Strategy One (November 2025), you can define a dynamic date, which changes based on the current date, in the calendar.

  9. After you have created the filter, you can do either of the following:

    Create a Filter List

    You can define the filter as a list of attribute elements instead of a qualification.

  10. From the first drop-down list, select the attributeto use to filter the data. A qualification condition is created (such as Month Qualify ID Equals Value).

  11. Click Select.

  12. Do one of the following:

    • To filter data on attribute elements in a specified list, select In List.

    • To filter data on attribute elements not included in a list, select Not in List.

  13. Click Edit.

  14. The Available pane contains individual elements of the selected attribute. For example, if the attribute is Region, the elements included in the left pane might include South, Central, and so on.

    • Double-click an attribute element to add to the list.

    • To select multiple elements at once, click them while holding down the CTRL key. Click the Add icon .

    • Use the Search box to find elements in a long list.

  15. Once your list is complete, click OK.

  16. After you have created the filter, you can do either of the following:

    Run the Report

    After you answer the prompts, run the report to view the results.

  17. You can review a quick summary of your prompt answers in a more user-friendly format by enabling View Summary.

  18. Click Apply to run the report.

  19. Starting in Strategy One (April 2026), if the prompt creator included a time window restriction and you exceeded it, an error displays. For example, if the time window is 30 days and you select a range from January 1st to April 1st of the same year, an error message displays: "You have made more selections than allowed for this prompt". Adjust your dates to meet the time window (which is explained in the prompt's description) and click Apply.

  20. To see how your prompt answers were used to create the report's filter, click Filter to display the Filter panel. Your prompt answers appear in the form of report filtering conditions.

  21. To see data filtered in a different way, click the Reprompt icon on the toolbar and answer the prompt again to create a different filter for the report results.

    Save the report

  22. Click the Save icon on the toolbar. The Prompt Options window opens.

  23. Choose whether to keep the report prompted when the report is executed again. By default, the report is saved as prompted. To change that behavior, clear the Keep This Object Prompted check box. The next time the report is run, your prompt answers are automatically used to answer the prompts and run the report. The Prompts page does not display.

    Once you save the report as unprompted (also known as a static report), the prompt answers become filters and you cannot revert the report to be prompted again.

  24. If you keep the report prompted, select one of the following options:
    • To display the prompt answers as the default answers the next time that the report is run, select And Use the Current Answers as the Default.
    • To save the report without default answers, select And Discard the Current Answers.
    • To display the prompt selection page each time that the report is run, select the Save report as prompted option, then perform the following steps:
  25. If you want to save these prompt options and not allow changes, select the Don't Ask Again check box. The next time the report is run, neither the Prompts page nor the Prompt Options windows display.

  26. Click Save.
