Share Dialog Box
You can use the Share dialog box to determine which users or user groups have access to an object, and what level of access they have, by editing an object's access control list (ACL). For example, you can allow a user to view and run a report, or give a user full control to assign permissions for an Intelligent Cube. You can select an existing permission level, such as Full Control, or choose specific permissions to assign to a user or user group.
You can also share a link to the object, by emailing the link or displaying the link in the Share dialog box and then copying it. For steps, see Share a Link URL to an Object.
If you modify the permissions for a folder, your changes will be applied to the folder and all objects created in the folder in the future. These changes are not applied to objects that were already in the folder before you made changes to the permissions, unless you select the Overwrite all child object permissions checkbox. For example, you assign the Modify permission level to a group of analysts, for a folder that contains several reports. The analysts that you selected will have Modify access to any new reports, documents, or other objects created in this folder in the future, while the permissions for the reports that are already in the folder will remain unchanged. If you select the Overwrite all child object permissions checkbox, the selected analysts will be able to modify the existing reports in the folder.
The table below lists the permission levels you can assign to a user or user group, and a description of each permission level. These permissions are available for all objects except Intelligent Cubes. For detailed information about the specific permissions available for each level and an explanation of each permission, including an introduction and examples of ACLs, see the System Administration Help.

To assign permissions to a user or user group for an object in Web
Complete the following before assigning permissions:
To assign permissions for an object to another user or a user group, you must have the Control permission for the object.
You must have the Web Use Object Sharing Editor privilege.
Your administrator must have chosen to include session information, such as the server name and port number, in the URL of pages displayed in MicroStrategy Web. For more information about this setting, see the Web Administrator Help.
- You can assign permissions from
the folder location of an object; when a dashboard, document, or report
is executed; or when you upload a dashboard to Web. Do one of the
following:
- Navigate to the folder location of the object. Right-click the object, and select Share.
- From an open dashboard, document, or report, click the Share icon on the Home toolbar.
- If the document is open in Presentation Mode, click the menu icon on the right, and select Share.
- Import or upload a dashboard. On the Upload Successful dialog box, click Share Dashboard.
- The Share dialog box is displayed, with a list of users and user groups with permissions for the object listed under Who has access.
- Do one of the following:
- To quickly grant public access to the object, select the Public checkbox. The Public checkbox is available if guest access is enabled for the project. Note that users will not need to log in to view the object.
- To quickly grant all users access to the object, select the All Users checkbox. The All Users checkbox is available if guest access is not enabled for the project. Note that users must log in to MicroStrategy to view the object.
- To type the name of each user or user group separately, type a name in the Type users or groups here field. A drop-down list is displayed, containing users or groups that match the typed value. Select the user or user group from the drop-down list.
- To browse to and select the user or user group from a list, click Browse. The User/User Group Browser opens. Select the checkbox next to each user or user group you want to assign permissions to, then click OK.
- By default, the user or user group
is given the View permission. To change it, from the permission drop-down list, select one of the
following:
- To choose an existing permission level from the list, select the permission level you want to assign to the user or user group. For a list of the existing permission levels and a description of each permission level, see the tables above.
- To choose a specific combination of permissions to assign to the user, select Custom. The Custom Permissions Level dialog box opens. Select the permissions you want to assign, then click OK. (For descriptions of the permissions, see Custom Permission Level Dialog Box.) The permissions that you selected are automatically displayed in the permission drop-down list. For example, if you select the Browse, Read, and Write permissions, B, R, W is displayed in the drop-down list.
- Click Add. The user or user group is added to the list of users for the object. To view the specific permissions assigned to a custom permission level, hover the cursor over the word Custom. The first letter of each assigned permission is displayed. The full permissions are displayed in a pop-up tooltip.
- For a folder, the changes to the permissions will be applied to the folder and all objects created in the folder in the future. By default, these changes are not applied to objects that were already in the folder before you made changes to the permissions. To change this behavior, select the Overwrite all child object permissions checkbox; the changes to permissions are applied to the objects already in the folder.
- Click OK.
To modify the permissions assigned to a user or user group for an object
Complete the following before modifying permissions:
To assign permissions for an object to another user or a user group, you must have the Control permission for the object.

- Import or upload a dashboard. On the Upload Successful dialog box, click Share Dashboard.
- The Share dialog box is displayed, with a list of users and user groups with permissions for the object listed under Who has access.
- From the permission drop-down
list for the user or user group you want to modify, select one of
the following:
- To choose an existing permission level from the list, select the permission level you want to assign to the user or user group. For a list of the existing permission levels and a description of each permission level, see the The table below lists the permission levels you can assign to a user or user group, and a description of each permission level. These permissions are available for all objects except Intelligent Cubes. For detailed information about the specific permissions available for each level and an explanation of each permission, including an introduction and examples of ACLs, see the System Administration Help..
- To choose a specific combination of permissions to assign to the user, select Custom. The Custom Permission Level Dialog Box opens. Select the permissions you want to assign, then click OK. To view the permissions, hover the cursor over the word Custom. The first letter of each assigned permission is displayed. The full permissions are displayed in a pop-up tooltip.
- For a folder, the changes to the permissions will be applied to the folder and all objects created in the folder in the future. By default, these changes are not applied to objects that were already in the folder before you made changes to the permissions. - Click OK.
To delete the permissions assigned to a user or user group
Complete the following before deleting permissions:

- From an open dashboard, document, or report, click the Share icon on the Home toolbar.
- If the document is open in Presentation Mode, click the menu icon on the right, and select Share.
Import or upload a dashboard. On the Upload Successful dialog box, click Share Dashboard.
The Share dialog box is displayed, with a list of users and user groups with permissions for the object listed under Who has access.
- Click the Delete icon next to the user or user group whose permissions you want to delete.
- For a folder, the changes to the permissions will be applied to the folder and all objects created in the folder in the future. By default, these changes are not applied to objects that were already in the folder before you made changes to the permissions. To change this behavior, select the Overwrite all child object permissions checkbox; the changes to permissions are applied to the objects already in the folder.
- Click OK.
