Sort Document Dialog

The Sorting dialog allows you to sort the data for the Grouping and Detail sections of a document. You can select what objects to sort, the sorting criteria (for example, the attribute form on which to sort), and the sorting order (ascending or descending).

Access

  1. Open a document in Design or Editable Mode.
  2. In the menu bar, go to Data > Sort Document.

Grouping

When a grouping has been defined, it is automatically displayed here. You cannot add an additional sort for the grouping section. Grouping items are sorted in the order they appear in the Grouping panel. To change that order, rearrange the objects in the Grouping panel. From the drop-down list, specify what the object is sorted by, depending on whether it is an attribute, a custom group, or a consolidation.

If you are sorting on an attribute, you can choose which attribute form to sort on. The form does not have to be displayed on the report.

If you are sorting on a custom group, you can select from the following options:

  • Default inherits the sort property of the custom group.
  • Top displays the element name first, then its individual items.
  • Bottom displays the individual items of an element, followed by the element name.

These options affect the document only if the custom group is displayed as "Show only the individual items within this element and also, expand these individual items if possible" or "Show element names, individual items within this element and also, expand these individual items if possible."

If you are sorting on a consolidation, you cannot adjust the criteria for the sort. It is set at Default.

Select Ascending or Descending to specify the order of the sort. However, you cannot change the Order if the object is a custom group or if the Criteria of an attribute is set to Default.

Detail

Sorting is not automatically defined for the Detail section of a document. You can select any desired object as long as it is in the primary dataset, regardless of where or whether it is placed on the document. Unlike grouping, you can select a metric as a Sort by object.

Sort By From the drop-down, specify the object on which to sort first. The list contains all the objects in the primary dataset, regardless of where or whether they are placed on the document.

Then By From the drop-down, choose additional objects on which to sort. These objects are sorted after the Sort by object.

Select Ascending or Descending to specify the order of the sort.

You can define the sorting order by using up to three objects, if you have multiple objects listed.
