Replacing datasets in a document

A dataset is a MicroStrategy report that is used on a document. A dataset includes all of the report's elements–attributes, custom groups, consolidations, and metrics.

You can replace the dataset of a document, and any Grid/Graphs that use the dataset are updated to use the new dataset instead. This feature is most useful when the Grid/Graph is linked to a dataset report as a shortcut, and you want to replace the Grid/Graph with data from a different dataset. When the Grid/Graph is linked and you change the dataset, the formatting, filter, and report objects are automatically changed. If the Grid/Graph is not linked when you change the dataset, you must update the Grid/Graph by executing the document.

For example, a Grid/Graph is linked to a Regional Revenue report, which contains the Region attribute and the Revenue metric. Regional Revenue's report formatting, which includes grey row and column headers, is used on the Grid/Graph. Replace Regional Revenue with Regional Profit, which contains Region and the Profit metric. Its headers are green. The Grid/Graph linked to Regional Revenue is now linked to Regional Profit. It displays Region and Profit, with green headers.

You can also replace all the dataset reports in a document with a single dataset report.

To replace the dataset in a document

  1. Open the document in the Document Editor.

  2. In the Datasets pane, right-click the dataset to change and select Replace Dataset. The Select a Report dialog box opens.

  3. Select the report or Intelligent Cube to use as the replacement dataset for the document.

  4. Click Open. If the original dataset was used to group the document, a message displays, indicating that those grouping fields will be removed. Click Yesto continue.

  5. You are returned to the Document Editor, with the selected report or Intelligent Cube added to the Datasets pane, replacing the original dataset. If a Grid/Graph used the original dataset, the Data Source of that Grid/Graph is now defined as the new dataset, as seen in the Property List for the Grid/Graph.

  6. If the replacement dataset contains different objects from the original dataset, and a Grid/Graph used the original dataset, update the Grid/Graph by executing the report, as described below:

    1. Click PDF View on the toolbar.

    2. If the Grid/Graph was not linked as a shortcut, a message displays, indicating that the document uses objects no longer available in the dataset. Click OK to continue and to update the document definition.

    3. Return to Design View by clicking Design View on the toolbar. The Grid/Graph is now updated with the new dataset objects.

To replace all the dataset reports in a document with a single dataset report

  1. Open the document in the Document Editor.

  2. In the Datasets pane, right-click a dataset and select Replace All Datasets. The Select a Report dialog box opens.

  3. Select the report or Intelligent Cube to use as the replacement dataset for the document.

  4. Click Open. If one of the original datasets was used to group the document, a message displays, indicating that those grouping fields will be removed. Click Yesto continue.

  5. You are returned to the Document Editor, with the selected report or Intelligent Cube added to the Datasets pane. All of the original dataset reports in the document have been removed from the document. If a Grid/Graph used any of the original datasets, the Data Source of that Grid/Graph is now defined as the new dataset, as seen in the Property List for the Grid/Graph.

  6. If the replacement dataset contains different objects from the original datasets, and a Grid/Graph used one of the original datasets, update the Grid/Graph by executing the report, as described below:

    1. Click PDF View on the toolbar.

    2. If the Grid/Graph was not linked as a shortcut, a message displays, indicating that the document uses objects no longer available in the dataset. Click OK to continue and to update the document definition.

    3. Return to Design View by clicking Design View on the toolbar. The Grid/Graph is now updated with the new dataset objects.
