How to Answer a Prompt by Typing a Specific Value

Some prompted reports require you to type in a specific value such as a date or number to define the data that is displayed on the report. These prompts include date prompts, numeric prompts, text prompts, long prompts, and Big Decimal prompts.

If you attempt to run a report that contains a required prompt without answering the required prompt, the report will not run, and a message stating this requirement is displayed.

This procedure assumes you have executed a report that has prompts and are therefore presented with a prompt.

To Answer a Prompt by Typing a Specific Value

  1. Click the name of a prompted report to run it. A prompted report will present a prompt question to be answered before the report data is displayed.
  2. Type an answer in the field provided. You must type the form of answer the prompt is expecting, as follows:

    • Date prompt: Type a date value, such as 8/14/2008, or select a date from the calendar (to open the calendar, click the Calendar icon).
    • The date prompt also contains the "Show time" feature allowing you to enter a timestamp along with the date. Check the "Display time picker" box to activate the timestamp feature. The Display time picker box defaults to "unchecked" in all existing value prompts.

      You can change the time format by navigating to the Time tab through one of the following file paths. In pre-Microsoft Windows 2007: Start > Settings > Control Panel > Regional Options > Time. In Microsoft Windows 2007 or higher: Start > Control Panel > Regional Options > Time. Your user privileges may need to be modified if you are unable to access the Time tab.

    • Numeric prompt: Enter integers or decimals up to 15 digits.
    • Text prompt: Enter alphabetic characters that form any type of text string, such as a word or phrase.
    • Big Decimal prompt: Enter integers and decimals up to 38 digits.
    • Long prompt: Enter integer numbers up to 10 digits.
  3. Scroll down or click Next to get to the next prompt, if there is one.
  4. If there are additional prompts on the report, use the appropriate steps to answer them. (All prompts on the report are listed in the far left pane.) Otherwise, review the summary of your answers and click Run Report or Run Document. The report or document is executed and your results are displayed.
  5. If you want to see how your prompt answers were used to create the report's filter, go to File > Report Details or Document Details. Your prompt answers appear in the form of report filtering conditions. You can also see whether a cache was used to supply the results. If a cache was not used, the results were taken from the latest data in your data source.

To see data filtered in a different way, click the Reprompt icon Reprompt icon on the Standard toolbar and answer the prompt again to create a different filter for the report results.

If you clear the default answer for a value prompt and then reprompt the report, the default answer is displayed again.

Renaming a Prompted Report

When you run a prompted report or document, you are presented with a prompt before you see any report results. At the bottom of the prompt selection page, you can rename the prompted report. This allows you to choose a meaningful name that makes it easier to later find the report or document in your History List or your My Reports folder.

For example, for a prompted sales report, if you answer a prompt question by specifying the month of October, you can rename the report "October Sales". Note that this name change is reflected only in your personal version of the report (in your History List). It does not change the actual name of the report object in MicroStrategy.
