Advanced Subtotals Options dialog box

The Advanced Subtotals Options dialog box allows you to define a new report subtotal by selecting each metric subtotal that appears in the report. For each subtotal function, you can specify the desired level to calculate the subtotal for.

Advanced Subtotals contents

The Subtotals list displays all the user-defined report subtotals and system subtotals. Select the function or functions to use to calculate subtotals on the report. You can also define a new report subtotal, by clicking New. The Custom Subtotal Properties dialog box opens.

The list of functions available is determined when the metric is created. If no functions are listed, subtotals have been disabled for the metric. For steps to enable subtotals, see Steps to make subtotals available to a metric.

In the Applied levels section, specify the level on the report at which to calculate the selected subtotal—by position, across level, or group by, as described below:

  • By position: Displays the subtotal across all attributes and hierarchies available on the template. It provides the same behavior as Across level, but without selecting a level. Instead, the level is selected dynamically so these subtotals can change as the layout of the template is altered.

    • If you select By Position, these levels are displayed: Rows, Columns, and Pages. For each level, select one of the following options from the drop-down list:

  • GrandTotal: Applies only the subtotal across the whole axis.

  • AllSubtotals: Applies the subtotal across all levels on the axis.

  • None: Does not apply the subtotal to any level of the axis.

  • Across level: Applies the subtotal across all attributes and hierarchies available on the report.

    • If you select Across level, all the attributes and hierarchies on the report are listed. Select the attribute(s) and/or hierarchy(ies) to subtotal.

      By default, consolidations available on the report are not displayed. Any objects placed to the left of the consolidation on the report cannot be subtotaled. They are displayed in this dialog box but cannot be chosen. To change this behavior, enable consolidation subtotals.

  • Group by: Applies the subtotal by the selected attribute across all other attributes on the report, regardless of position. Group by works best if the report sort corresponds to the group by attribute, regardless of position.

    • If you select Group by, you must define the group by level. Click Add. The Group By Selection dialog box opens, listing the report's attributes. Select the attribute or attributes to use as the subtotal level. Click OK. The selected attribute(s) are displayed.

    • To remove a group by level, select the attribute and click Remove.

    • To make changes to the group by level, click Edit, select or clear the attribute(s) in the Group By Selection dialog box, and click OK.

    • To display a grand total, select the Grand Total check box. This option adds a subtotal grouped by nothing, effectively calculating a total of all attributes on the report.

      If you select all the attributes on the report, no subtotal data will be displayed on the report.

Accessing the Advanced Subtotals Options dialog box

You can access this dialog box in any of the following ways:

  • From the Template Editor:

  • If a metric is not already on the template, place a metric in the Template definition section.

  • From the Data menu, select Subtotals. The Subtotals dialog box opens.

  • On the Definition tab, click Advanced Options.

  • From the Report Editor:

  • If a metric is not already on the template, place a metric in the Template definition section.

  • From the Data menu, select Subtotals. The Subtotals dialog box opens.

  • On the Definition tab, click Advanced Options.

  • From the Report Viewer (an executed report):

  • If the report contains a metric, the dialog is accessible by selecting Subtotals from the Data menu. The Subtotals dialog box opens.

  • On the Definition tab, click Advanced Options.
